Overview:

Audacy's Philadelphia-based corporate team and six of Audacy's local marekt radio stations are located in the 9th ranked media marekt in the United States - Philadelphia. The ideal candidate for this role is outgoing, personable, reliable, responsible, and detailed-oritned. The Office Coordinator focuses on employee engagements, client relationships, and office management. Must be available to work on-site at Philadelphia HQ, Monday through Friday. 

Responsibilities

What You'll Do:

 

Office Operations & Facility Management:

  • Primary Point of Contact: Serve as the lead liaison for Philadelphia-based Corporate and Broadcast staff.
  • Building & Vendor Liaison: Manage relationships with building management and external vendors to coordinate maintenance, cleaning scheudles, and facilty repairs.
  • Space Management: Maintain and update seating charts for Philadelphia based corporate and broadcast seats, ensuring efficient space utilization.
  • Resource Management: Oversee office supply inventory and maintain kitchen cleanliness and functionality.
  • Mail & Logistics: Direct the sorting, delivery, and unpacking of all incoming mail and packages.

Employee Experience & Onboarding: 

  • Onboarding Coordination: Manage the end-to-end "new hire" experience, including desk setup and coordination with the IT, Security, and Building teams for access and local amenities. 
  • Culture Champion: Lead "1 Thing" sustainability initiatives, wellness programs, and internal help-desk support to enhance the workplace environment.
  • Internal Communications: Act as the central hub for office-wide communications, drafting and distributing updates regarding holidays, special events, and general announcements. 

Guest Relations & High-Profile Hospitality: 

  • VIP Concierge: Provide "white-glove" concierge services for radio guests and celbrities, coordinating closely with station management.
  • Visitor Security & Safety: Act as the primary safety coordinator for all high-profile guests, ensuring building security and relevant internal staff are notified of arrivals. 
  • Tour Coordination: Manage special guest arrivals and assign/conduct office tours as required.

Evening & Meeting Coordination: 

  • Master Calendar Management: Serve as the gatekeeper for the calendar of events, preventing scheudling overlaps and ensuring leadership (SVP/MM and Department Heads) are fully briefed.
  • Event Production: Partner with event owners to ensure excellenece in the planning and execution of all internal activities and maintenance needs around office events.
  • Conference Room Oversight: Manage room schedules and maintain a working knowledge of all integrated A/V and conference room equipment. 

Administrative Excellence: 

  • Reception Leadership: Perform and oversee all receptionist duties, including professional call screening and routing. 
  • Administrative Support: Execute general office inquiries and provide high-level administrative support to ensure smooth daily operations.

  • Execution: Ability to priotiize tasks effectively and work independently with minimal supervision. 
  • Physical Ability: Capactiy to lift and move items weighing 20-30 lbs. 

Preferred:

  • Experience: 1 + years in an administrative role or previous office coordinator experience. 
  • Education: Bachelor's degree or equivalent experience.
